Introducing the new ROPA Report in Wordsmith

Stop building your ROPA from scratch. The new ROPA Report in Wordsmith pulls it together from the DPAs, DDQs and call notes you already have.

Head of Privacy, Wordsmith AI

A ROPA isn't really creative work. It's a transformation of information you already have in the business into a different format. The hard part has always been the extraction.

Historically, this has always been in the heads of your stakeholders around the business, and you have had to carry out interviews to get at it. From my work in the data protection and building tools in this space, most, if not all of the relevant information for a ROPA also lives in vendor DPAs, due diligence questionnaires, privacy policies, and the call notes filed away after a stakeholder meeting during vendor onboarding. And often it can be more detailed, and much richer.

The irony to me is that we’ve got all this detailed documentation which is used once for Vendor DD and then shelved (or lost). Pulling it out by hand used to take longer than sitting down for an interview, so privacy teams interviewed stakeholders as the primary means for a ROPA.

With AI, that has now changed.

The new ROPA Report in Wordsmith builds your ROPA from the documents you already have. Drag and drop a folder of DPAs, or connect a repository like Google Drive or SharePoint. The Report extracts the fields you need, populates each row by vendor, and lays the whole thing out in a format you can customise to your house style.

It does three jobs in one place. It builds, by ingesting what's already in your business. You can query any field in seconds, so customer questions, audit prep or regulator requests stop being major undertakings. And it’s even possible to trigger downstream work, like drafting DPIAs, all from the same referenced source.

All of this you can update, add new context, and add additional columns to customise to your requirements.

The result is a ROPA that stays current. As new documents come into the connected repository, the Report updates. Vendor sub-processor changes, contract addendums and fresh stakeholder context flow in as they happen, not at the next annual review.

We have a template version of the Controller Report ready to drop into your Wordsmith account. If your ROPA structure is bespoke, our legal engineers will build it with you.

If your privacy team has lost a quarter to a ROPA in the last year, get in touch.
